Managers need to spend a lot of time communicating with people both internal and external to the organization. To achieve effective communicating the context in which communications take place needs to be ascertained. As the term suggests, business communication includes all communication that occurs in a business context. Knowledge of business communication is indicative of an understanding of both business and communication. Business communication has evolved over the years into a broad discipline providing an overview of all communication that occurs in organizational settings. Organizations today aim to identify the elements, which contribute to successful communication. Managers within organization focus on barriers to effective communications and the reasons for its breakdown. Having an understanding of to whom the information will go is the starting point or identifying the target of the communication effort. Sometimes there is an obvious reason for passing on information to someone, but at other times you may find yourself passing on information out of habit, without thinking about its destination or purpose.

Communication is a complex process in which many opportunities for error exist. Every business transaction requires communication, a phone call, meeting, letter, memo, oral presentation, or formal report and the success of the transaction depend on the effectiveness of the communication. Communication between employees in an organization is dependent on the structure and culture of the organization position within organizations today will require you to

write, speak and process information with the aid of technology. For an example effective email messages and memos, use the telephone effectively, and be effective in group discussions and team meetings. Some employees who may be in managerial roles may also be called upon to write letters and reports and to present to small groups. The higher a person rises in an organization's hierarchy, the more time he or she spends communicating both formally and informally, for an example the extensive use of email especially when involving large number of recipients, which is sent using group mail often, ends up with the wrong person.

The endeavor of this discipline has been to always determine how business communications as a process could possibly function more effectively. Organization receives information from a variety of external sources. The goal of business communications is to transmit information, share ideas, give employees an opportunity to share ideas with the management, and to trigger action.

The SENDER is the person keen of passing on the message.

The RECEIVER to whom the message is to be accepted.

The MEDIUM is used to convey the message.

The message, which is sent, has to be ENCODED

The encoded message has to be DECODED by the receiver

The FEEDBACK is the response of the receiver.

If a sender relay a message through an appropriate channel, its message may not reach the right receivers. That is why senders need to keep in mind that selecting the appropriate channel will greatly assist in the effectiveness of the receiver's understanding. The sender's decision to utilize either an oral or a written channel for communicating a message is influenced by several factors. The sender should ask him or herself different questions, so that they can select the appropriate channel. Is the message urgent? Is immediate feedback needed? Is documentation or a permanent record required? Is the content complicated, controversial, or private? Is the message going to someone inside or outside the organization? What oral and written communication skills does the receiver possess? Once the sender has answered all of these questions, they will be able to choose an effective channel.

After the appropriate channel or channels are selected, the message enters the decoding stage of the communication process. Decoding is conducted by the receiver. Once the message is received and examined, the stimulus is sent to the brain for interpreting, in order to assign some type of meaning to it. It is this processing stage that constitutes decoding. The receiver begins to interpret the symbols sent by the sender, translating the message to their own set of experiences in order to make the symbols meaningful. Successful communication takes place when the receiver correctly interprets the sender's message.

The receiver is the individual or individuals to whom the message is directed. The extent to which this person comprehends the message will depend on a number of factors, which include the following: how much the individual or individuals know about the topic, their receptivity to the message, and the relationship and trust that exists between sender and receiver. All interpretations by the receiver are influenced by their experiences, attitudes, knowledge, skills, perceptions, and culture. It is similar to the sender's relationship with encoding.

HOW AUDIENCE RECEIVE THE MESSAGE

Keep your audience focused

You can also help your audience by eliminating any information that doesn't directly contribute to your purpose. Many business messages contain too much material. The sender, in hopes of being thorough, tries to explain everything there is to know about a subject, but most audiences don't need everything. All they need are a few pertinent facts, enough information to answer their questions or facilitate their decisions. By keeping your messages as brief and as clean as possible, you make them easier to absorb. With few expectations, one page is better than two, especially in a business environment where so many messages compete for attention. By eliminating unnecessary ideas, you focus your audience's thoughts on those few points that really matter. You have to be careful, however, to develop each main idea adequately. You're better off covering three points thoroughly rather than eight points superficially.

Show your audience how new information relates to existing ideas

The mind absorbs information by categorizing it into mental files. If you want your audience to understand and remember new ideas, you have to indicate how those ideas are related to the files that already exist in their minds. When the connection with familiar concepts is lacking, the new material tends to get lost, to become mentally misplaced, because it doesn't fit into your

audiences filling cabinet. By showing the audience how new idea relate to familiar ones, you increase the likelihood that your message will be understood correctly. The audience already has a wealth of information on the subject; all they have to do is apply it to the new idea. Connecting new ideas to existing ones also helps make the new concepts acceptable. Most of us approach anything unfamiliar with caution. When we discover that it's similar to something familiar, we become more confident. We pick it up and look it over more carefully and then take it home with us. It becomes part of our collection, one of many related thing.

Awareness: They are able to anticipate your reaction before it occurs. They read your response correctly and adapt to your wavelength. They constantly adjust to correct any misunderstanding.

Meticulousness: Their communication is to the point. When they finish, the receiver also shares the same point of view.

Credibility: They are believable. You have faith in their message. You trust their information and intentions.

Control: They take full control of the situation. They decide your response. Depending on their purpose, they can make you laugh, cry, change your mind, etc.

Geniality: They preserve friendly, pleasant relations with the receiver. They ensure a harmonious atmosphere so that you will pin your ears back to them, even if you have differences.

CONCLUSION

The employees and customers also have to support to utilize advance technology better. We will utilize communication better and help to create healthy development in the world. Whenever we are communicating, we have to make sure that our communication is ethical and having moral values. Ethical communication means being truthful and upfront all the times. Ethical communication is creating truthfulness, accuracy and honesty. Communication should consist of caring mutual understating and respect characterizes of individuals. Everyone deserves to be respected regardless of race, gender and economic status.

This is one of the best ways to advertise, because normally everyone will search by Wikipedia.
